Verifactu is an electronic invoice verification system promoted by the Spanish Tax Agency (AEAT), aimed at combating tax fraud and promoting the digitalization of business accounting processes. Electronic invoicing, on the other hand, is a digital document that certifies a transaction.Each invoicing software, such as Holded, must integrate the Verifactu system in order to be certified by the AEAT.
Identifying an invoice issued through the Verifactu system is relatively easy, as it must meet the following requirements:It includes a QR code with identifying information.
It contains the “Verifactu” reference, certifying that the invoice was generated using a verifiable invoicing system.
It is sent to the Spanish Tax Agency (AEAT) online in XML format.These invoices allow the buyer to verify them by scanning the QR code.
There must be a record of each invoice and related events as a backup.
The invoice registration process under Verifactu will not come into effect until July 1, 2025. However, it is expected to operate similarly to current electronic invoicing systems, with the key difference that professionals can choose whether or not to send invoices to the AEAT immediately.
If the invoicing software does not comply with the Verifactu regulations, the user may face a fine of up to €50,000 for each fiscal year in which the non-compliant software was used. The same penalty applies if a certified software is altered or modified.
