AI and agents

Upload the invoice and forget the rest

Take a photo of the receipt or forward the supplier's email. Holded's AI reads the supplier, date, taxable base and VAT, proposes the account and creates the journal entry.

Invoice and receipt scanner

Works from your phone or your inbox. Every document is filed next to its journal entry, ready for your accountant.

Automatic expense categorisation

Each expense goes to its category based on what you did with similar ones. Correct one and the AI learns for the next.

Duplicates and anomalies flagged

If a supplier sends the same invoice twice or an amount is out of the ordinary, Holded flags it before booking it.

AI agents

Plug your own agent into Holded

With Holded's MCP server, Claude or whichever assistant you use can look up your invoices, your treasury or your stock and create payments from the conversation. You decide what it can reach.

You

Which invoices are still unpaid this month, and which ones are overdue?

Holded

Seven invoices are still open and two are past due. I can send the reminders and tell you which ones already got one.

Automatic bank reconciliation

Your bank reconciles while you work

Connect your bank accounts and every transaction lands in Holded already paired with its invoice or expense. You just confirm.

Connected banks

Transactions sync on their own. No downloading statements or importing files.

Reconciliation rules

Set rules by amount, description or contact so recurring transactions reconcile without going through you.

Learns from your decisions

Every match you confirm or correct improves the next suggestions.

Payment reminders

Get paid without chasing anyone

Schedule a sequence of email reminders before and after the due date. Holded sends them on your behalf and stops as soon as the payment comes in.

Sequence before and after the due date

A friendly note a few days before, another on the due date and as many as you need afterwards. You set the pace.

Templates in your tone

Write each email once, with the invoice details filled in automatically, and reuse it with every client.

Stops when you get paid

When the payment is reconciled, the sequence stops on its own. Nobody gets a reminder for an invoice that is already paid.

Work that repeats

What comes back every month is already done

Some work comes back every month under a different name: the same fee, the same product running out, the same invoice number that is due. Holded gets it done and only pings you when there is something to decide.

Recurring invoicing

Subscriptions, fees and maintenance plans are invoiced on the date you set, with sequential numbering, scheduled delivery and Verifactu registration without you doing anything.

Minimum stock watched

Set a minimum per product and warehouse. When stock drops below that level, you get a notification and create the purchase order for the supplier from the same alert.

Numbering and records up to date

Every invoice goes out with its sequential number and is registered in Verifactu without you thinking about it.

Also in accounting and invoicing

From quote to invoice

When a quote is accepted, you turn it into an invoice in one click, with every line and detail already filled in.

Automatic journal entries

Every invoice, expense or payslip creates its journal entry on the spot. No typing data twice.

Depreciation

Register the asset once and Holded creates the depreciation entries for each period following the table you choose.

Taxes calculated

Forms 303, 111 or 115 are filled in with your invoicing and expense data. You review and file.

Beyond finance

Team, sales and projects run on their own too

Automation does not stop at invoicing. Your team's processes, your sales pipeline and your projects can also keep going on their own, and you switch on only what you want from each module.

Team

Clock-ins, absences and documents up to date without chasing anyone.

Clock-in reminders

If somebody forgets to clock in, Holded reminds them. The hours log arrives complete at the end of the month.

Absences to whoever approves them

Every holiday request reaches its manager, and you get a heads-up when it overlaps with others in the same team.

Expiry alerts

Set an expiry date on contracts and documents and get the alert before they run out, with time to renew.

Sales

From the form on your website into the pipeline, without copying a single field.

Leads straight into the pipeline

The forms on your website create the contact and the opportunity, with their source and details already filled in.

Assignment by rules

Split every lead by territory, product, source or round robin. None of them is left without an owner.

Stage changes that move the rest

When an opportunity moves forward, the next task is created and the right person is notified. Same when the close date gets near.

Projects

They start fully set up and warn you before the date slips.

Projects that start with their tasks

Save a project as a template and the next one starts with tasks, owners and structure ready.

Deadline alerts

Every task reminds whoever owns it of its deadline. Due dates stop depending on memory.

Sprints that close themselves

Whatever is still open when a sprint closes moves to the next one or back to the backlog, however you decide.

You decide what gets automated

Automate at your own pace

Each automation switches on separately, and you can ask to be consulted before any change is applied.

Switch each one on separately

Start with the scanner or the reminders and add the rest whenever you like. Every automation has its own switch.

Review before applying

If you prefer control, proposals wait for your confirmation: approve in one click or correct them.

A log of everything it did

Every automatic action is recorded with date, source and result, so you and your accountant know what happened.

Get started in three steps

Nothing complex to configure. Each step takes minutes.

  1. 1

    Connect your sources

Link your bank and forward supplier invoices to your Holded address, or upload them from the app.

  2. 2

Switch on what you want to automate

Turn on the scanner, reconciliation, payment or clock-in reminders, lead assignment rules or stock alerts. Adjust rules and templates your way.

  3. 3

    Review and confirm

See what Holded did, correct anything that does not fit and let it learn from each decision.

Frequently asked questions

In finance: invoice and receipt capture with AI, expense categorisation, bank reconciliation, payment reminders, recurring invoices, journal entries, depreciation and tax form calculation. Outside finance: clock-in reminders, absence requests that reach the right manager, contract expiry alerts, leads that land in the pipeline and get assigned by rule, deadline alerts in projects and stock alerts with their purchase order. Each one switches on separately.

Only if you decide so. You can let the AI book directly or have it leave each document pending your confirmation. Either way, there is a log of what was done.

You connect your bank and Holded receives the transactions. For each one it looks for the invoice or expense that matches by amount, date and contact, and proposes it. With reconciliation rules, recurring transactions reconcile without your intervention.

No. As soon as the payment is recorded or reconciled with the bank, the sequence for that invoice stops. Only invoices that are still outstanding receive reminders.

MCP (Model Context Protocol) is a standard that lets AI assistants such as Claude connect to your applications. With Holded's MCP server you can look up invoices, contacts, treasury or stock and create payments from the conversation. You need an account with API access enabled.

Yes. Invoicing, accounting, treasury, CRM, projects, team and inventory share the same data, so an automation can start in one module and finish in another: a won opportunity turns into an invoice and creates its journal entry, the month's clock-ins feed payroll and its cost reaches accounting, and a product below its minimum proposes the order to the supplier. You switch on each module's automations separately.
